SITEOPTIX UK · SITE-TO-INVOICE REVIEW PILOT

Find out where your contracts lose margin between site and invoice

The Site-to-Invoice Review is a diagnostic for UK cleaning, security and FM contractors. It checks whether the work done on your sites reaches an invoice, at the right rate and in time. It is not a financial audit: it looks at what happens before anything reaches your accounts.

Normally £495. Free for five pilot companies in exchange for honest feedback. Applications close Friday 9 October at 5pm.

Work gets done. Not all of it gets billed.

Extra work is requested on site, approved verbally and recorded on WhatsApp or paper. Some of it never reaches an invoice. Some reaches it too late to be secure.

Compliance renewals depend on someone opening a spreadsheet. Supplier invoices are paid without being checked against the work.

None of this shows up in the accounts as a loss, however well the accounts are kept. It shows up as a contract that should be profitable and somehow is not. The review shows where it is happening in your business.

How the review works

  • Questionnaire: about 15 minutes. Estimates are fine; we record which figures come from your records.
  • Clarification call: 30 to 45 minutes to confirm your answers and understand the process you most want fixed.
  • Report: delivered within 72 hours of the call.

What you receive

  • An executive report of 12 to 16 pages, with an at-a-glance dashboard
  • Findings with the evidence behind each one, and the root causes they share
  • Financial impact, with the calculation and source shown for every figure
  • A prioritised 30, 60 and 90-day action plan with suggested owners
  • A clear list of what to validate before acting on each finding

How your numbers are treated

  • Every figure is labelled as your records, your estimate or our calculation
  • Nothing is invented. Where a figure cannot be calculated, the report says so
  • Figures built on estimates are shown as "up to" and marked for validation
  • Your answers are confidential, deleted 30 days after delivery, with an NDA on request

Where the review can lead

The review is the first of five stages. Each later stage is recommended only when a specific finding justifies it.

Stage 1 · Site-to-Invoice Review · £495
Questionnaire, clarification call and executive report. Shows where work may be failing to reach an invoice, and what to fix first.

Stage 2 · Deep Dive · priced after your review
A structured interview that challenges the key figures and walks through real transactions.

Stage 3 · Validated Audit · scoped after your review
Sample testing of your records to establish what is actually happening.

Stage 4 · Remediation · scoped after your review
Designing and installing the controls that stop the problem recurring.

Stage 5 · Managed Improvement · monthly, scoped to your operation
Monthly measurement against your baseline, with automation where the process is ready for it.
